Who we are
JN Technology Limited (“we”, “us”) is the controller of the personal data described here. We’re a software company registered in England & Wales, company number 17301850, at Portland House, Belmont Business Park, Durham DH1 1TW.

This policy covers jntechnology.co.uk. Encompass One, our Health & Safety and HR platform, has its own privacy policy at encompassone.co.uk. Where we build or host software for a client, that client is usually the controller of the data in it and we act as their processor under a written agreement.
What we collect and why
When you contact us
If you use the contact form or email us, we collect your name, email address, company (if you give it), what you’re interested in, your message, and which page you sent it from. We use this to reply and, if you want to go ahead, to prepare a quote.
Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries.
We send you an automatic email confirming we’ve received your message. We don’t add you to a mailing list or send you marketing.
When you use the automation scorecard
Your answers are scored in your browser and aren’t sent to us unless you ask for your results by email. If you do, we collect your email address, company (if given) and your answers, email you the results, and keep a copy so we can follow up on the enquiry.
Lawful basis: your request, and our legitimate interest in responding to it. You can ask us not to contact you further at any time.
Analytics — only if you agree
With your consent, we use Google Analytics to understand which pages are useful. It collects information such as pages viewed, how you arrived, your approximate location, and device and browser type. It doesn’t give us your name or email address. If you don’t accept, Google Analytics doesn’t load.
Lawful basis: consent. You can change your mind at any time using Cookie settings.
Server logs
Our hosting provider keeps short-lived technical logs (such as IP address, the page requested and the time) to run the site securely and diagnose faults.
Lawful basis: our legitimate interest in keeping the website secure and working.
How long we keep it
- Enquiries and scorecard results: up to 24 months after our last contact, unless you become a client, in which case we keep what we need for the life of the contract and the period required for tax and accounting records (usually six years).
- Google Analytics: 14 months.
- Server logs: kept by our host for a short period, typically days.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that’s wrong;
- delete your data;
- restrict or object to how we use it;
- move it to another provider, where that applies;
- withdraw consent (for analytics) at any time.
Email hello@jntechnology.co.uk and we’ll respond within one month. There’s no charge.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put it right first.
Keeping it secure
The website is served over HTTPS, access to our systems is limited to the people who need it, and our providers encrypt data in transit and at rest. No system is perfectly secure, but we take reasonable steps to protect your data and will tell you and the ICO if a breach puts you at risk.
